Project Management Support or Assistant to the Project Management Officer (PMO)
For a client in Gent, we are seeking a Project Management Support or Assistant to the Project Management Officer (PMO).
Role Overview:
As a Project Management Support (PMS), you will play a critical role in supporting the successful delivery of the Paloma+ programme. This position involves assisting the Programme Management Officer (PMO), Programme Manager (Head of), and Project Managers in executing the programme and its projects by applying standards, methodologies, best practices, reporting, scheduling workshops/meetings, and onboarding/offboarding stakeholders.
Key Responsibilities:
Priority Tasks:
- Schedule workshops and meetings.
- Administrative onboarding and offboarding of resources.
- Coordinate meetings, workshops, and stakeholder communications.
Additional Tasks:
- Assist project managers in developing project plans and timelines.
- Monitor project progress and update tracking tools to ensure milestones are met.
- Prepare and maintain project documentation, including meeting minutes, status reports, and risk logs.
- Support budget tracking and invoice processing.
- Help identify and resolve project issues and escalate when necessary.
- Maintain project management systems and ensure data accuracy.
- Contribute to process improvement initiatives and best practice sharing.
Qualifications:
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- Minimum of 3 years of experience in a project support or coordination role.
- Familiarity with project management methodologies (e.g., Agile, Waterfall) is ideal.
- Proficiency in MS Office Suite and project management tools (e.g., MS Project, Jira, Azure DevOps).
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Ability to work collaboratively in a fast-paced environment.
