Job Description:
The Technical Writer will be responsible for drafting comprehensive Requests for Proposal (RFP) and writing and reviewing technical specifications, questionnaires, pricing, and evaluation of offers for hardware materials. This role requires a keen eye for detail, excellent writing skills, and the ability to translate technical, functional, and business requirements into clear, concise, and compelling documents.
Key Responsibilities:
- Drafting RFP Documents: Create detailed and accurate RFPs for hardware materials, ensuring all technical specifications and requirements are clearly articulated.
- Collaboration: Work closely with a cross-functional team, including procurement, IT, and legal teams, to gather necessary information and ensure all aspects of the RFP are covered.
- Research: Conduct thorough research on industry standards, vendor capabilities, and market trends to inform the RFP content.
- Editing and Proofreading: Review and edit RFP documents for consistency, clarity, grammar, and compliance with company standards.
- Project Management: Manage timelines and deliverables to ensure RFPs are completed on schedule.
- Stakeholder Communication: Maintain open lines of communication with internal stakeholders to address any questions or concerns regarding the RFP process. Take the driving seat in the process of exchanging and collecting information gathered from stakeholders.
Conformity Criteria:
- Experience in Technical Writing: Minimum 3 years of documented experience in technical writing.
- RFP Experience: Minimum 2 completed RFP projects related to hardware assets (MFP printers, scanners, headsets, workstations, desktop equipment).
- Language Skills: Fluent in English, Dutch, and French (one level C1, others at least B2).
- Technical Documentation Capability: Proven ability to draft technical specifications and procurement documentation.
- Availability: Ability to provide on-site presence according to project needs.
- Stakeholder Collaboration: Demonstrated experience working with procurement, IT, legal, or cross-functional teams.
Evaluation Criteria:
- Relevant Technical Writing Experience: Quality and relevance of previous technical writing assignments.
- RFP & Procurement Knowledge: Understanding of RFP lifecycle, vendor evaluation, procurement processes.
- Hardware Domain Knowledge: Familiarity with desktop hardware, printers, peripherals, workplace equipment.
- Writing Quality & Clarity: Ability to translate technical/business requirements into structured documentation.
- Project Management & Coordination: Ability to manage timelines, stakeholders, deliverables.
- Communication & Stakeholder Management: Ability to drive workshops, gather information, align stakeholders.
